Complaints Procedure

We want to give you the best possible service. However, if at any point you become unhappy or concerned about the service we have provided then you should inform us immediately, so that we can do our best to resolve the problem.

In the first instance it may be helpful to contact the person who is working on your case to discuss your concerns and we will do our best to resolve any issues at this stage. Making a complaint will not affect how we handle your case.

The Solicitors Regulation Authority can help you if you are concerned about our behaviour. This could be for things like dishonesty, taking or losing your money or treating you unfairly because of your age, a disability or other characteristic.

You can raise your concerns with the Solicitors Regulation Authority.

The Legal Ombudsman can help you if we are unable to resolve your complaint ourselves. They will look at your complaint independently and it will not affect how we handle your case.

Before accepting a complaint for investigation, the Legal Ombudsman will check that you have tried to resolve your complaint with us first. If you have, then you must take your complaint to the Legal Ombudsman:

  • Within six months of receiving a final response to your complaint

and

  • No more than six years from the date of act/omission; or

  • No more than three years from when you should reasonably have known there was cause for complaint.

The data we collect about you

We collect personal information to provide our legal services, for legal and regulatory purposes and to manage our business and relationships. You will voluntarily provide most of your personal information directly to us. We may also obtain personal information from other sources or persons, including: personal information about you or your business which is publicly available; personal information provided to us by third parties such as if you deal with Zeilberger Stone's clients. Beyond this, Zeilberger Stone obtains a variety of documents and correspondence in the ordinary course of its business. Personal data about you (particularly things like your name and contact details) might be included in these documents even though you have no direct dealings with Zeilberger Stone or Zeilberger Stone' clients. This personal data is not used by Zeilberger Stone other than as a consequence of making ordinary use of underlying documents.

If you visit Zeilberger Stone's website, then website analytics provide Zeilberger Stone with your IP address and your type of device and browser, but not your name or physical address. 

What does Zeilberger Stone do with my personal data?

Zeilberger Stone uses the personal data as part of providing consulting services, obtaining goods and services for its business and complying with UK law. The bases for this processing as legal compliance in respect of Know Your Customer Information and legitimate interests in respect of other ordinary business activities of Zeilberger Stone.

We will only use your personal information if and to the extent that applicable law allows.  We will therefore only process your personal information if:

  • it is necessary for the performance of a contract with you or the organisation you work for;

  • it is necessary in connection with a legal obligation;

  • you have given your consent (where necessary) to such use or the organisation you work for has obtained your consent (where necessary) to share your information with us; or

  • if we (or a third party) have a legitimate interest which is not overridden by your interests or your rights and freedoms. Such legitimate interests include the provision of services, running the firm’s business and marketing relevant services directly to you.

  • consider whether we can pursue certain business development initiatives;

  • comply with our legal obligations to identify and verify the identity of our clients and their beneficial owners;

  • deliver consulting services to you and/or the organisation you work for, if you are a client;

  • run the firm’s business (e.g. carry out administrative or operational processes);

  • maintain and develop our business relationship with you;

  • improve our services and products to you, if you or the organisation you work for are a client or prospective client;

  • identify services you may be interested in;

  • send you marketing and invite you to events;

  • monitor and analyse our business; or

  • process and respond to requests, enquiries or complaints received from you.

We will only retain your personal information for as long as is necessary for the purpose for which it was collected, including for the purposes of complying with any legal, regulatory, accounting or reporting requirements.  Personal information processed in connection with our business acceptance processes and/or providing legal services will be retained in accordance with the company's retention and destruction policy unless we agree otherwise with you, in writing.
